Software Instructions

Welcome to Golfstat's Leaderboard software. These directions were last updated on February 25, 2000. There are several things you need to do before you run the program. These programs will only run from your C: drive (Typical Hard Drive). Therefore you need to create a directory or folder and then copy all files from this diskette to that directory. Remember that this software is MS-DOS based and does not run from Windows. When getting into the program you need to click your START button in the lower left hand corner. Then click PROGRAMS and then click the MS-DOS prompt. You will need to change to your directory once you get into DOS. You do this by typing CD/(name of directory).

There are several key points you need to know before running this software.

§ The Leaderboard programs are additional programs that run in addition to the regular RESULTS software.

§ The files that are specific to this Tournament are coded to allow the Leaderboard programs to run. In other words, these programs will not run on any Tournaments that have not been coded to accept them.

§ On regular RESULTS software, you have a choice whether you want to use the pairings options. On Leaderboard software, you have to use the pairings option to allow the software to run.

§ The Leaderboard programs run separately from the regular scoring which means the Leaderboard software is used only during the round when play is active. When the round is over you will convert the file data to the usual RESULTS format and perform your after round procedures in the same way as you do for all regular non-Leaderboard Tournaments. This also gives you the option to not even use the Leaderboard programs during your Tournament. This is beneficial if you only want to use the Leaderboard programs during certain rounds.

§ There are only 2 extra Leaderboard programs. One will be used during the round to handle the scoring in a Leaderboard format. The other program will print forms for the volunteers who are doing the scoring in Scoring Central and on the course.

§ At the end of these directions we will give you options and tips on different ways to set up your tournament to efficiently and effectively take your scores to create Leaderboard Scoring.

 

LET’S GET STARTED:

Go to your directions for the RESULTS software programs and follow the set up directions (other than the option to run the software from the diskette). Determine your Teams and Lineups, enter yardage and par, format your pairings, and set your tee times for the first round. During these functions you have one variable that you can use that is not available in regular results software. ENTERING OR EDITING A SPONSOR NAME. This can be done with option 4 Edit/Add Rosters or Tournament Info. If used, the Sponsor Name will appear on certain printouts and internet files.

When you take the Print Tee Times on Printer option you will be given a choice of printing the pairings or printing the VOLUNTEER SCORING FORMS FOR LEADERBOARD SCORING. Type 1 to print these forms (any other key will print the pairings). These forms are used by Scoring Central and by Hole Scorers on the golf course. If you use Walking Scorers with each Group they can just use a Scorecard. NOTE: Walking Scorers need to keep the Players in their group in the proper order. They can follow the order on the Pairings Sheet. They can also refer to the labels on the Players Scorecards assuming the Golfstat label option was used. The labels for a group will give the order within the group. EXAMPLE: If group 1 is a threesome the labels for the three players will be marked: Gp: 1-1 Gp: 1-2 Gp: 1-3. The first number is the Group number and the number following the dash (-) is the order for that Group.

When printing VOLUNTEER SCORING FORMS, you have 2 variables. The first varilable is what order do you want the groups to appear on the form. You have three choices:

If using a fixed tee format, you can order the groups in sequential order just like the pairings sheet.

If using a shotgun tee format, you can order the groups in a controlled reverse group order. Controlled means the order will reflect properly where there is more than one Group on a Hole. The program will automatically do this.

If using any unusual tee format, the program will allow you to order the groups any way you want to. With this choice you will have to manually order the groups. You will have to make sure you create a spot for each group. The directions for this are easy and are printed on the screen. Let’s use an example. This example won’t make logical sense, but it does illustrate the flexibility of this program. Assume we have 25 groups. If groups 1-5 will tee off first you would type 01 for the START GROUP and 05 for the END GROUP. Next groups 15-25 will tee off, but in reverse order. You would type 25 for the START GROUP and 15 for the END GROUP. Next is group 6 by itself. Type 06 for the START GROUP and just ENTER for the END GROUP. Those are your 3 ways to order groups. That gives you total flexibility to order the groups any way you want. Once you have put a group in order you cannot reuse that group. If you make a mistake you can ESC to restart.

The second variable is how you want the printout to look as far as the number of holes your are reporting at a time. Your options are 1-6 Holes. The printout will reflect your choice.

SCORING THE ROUND USING LEADERBOARD

Just like regular Results Software, when you want to starting entering scores you go to option 9 Enter Scores for Today’s Round. All of the warnings about starting over and the actual solidification of the lineup that take place when starting Round 1 under the regular Results will also take place here. The first difference you will see is a screen that prompts you to make a decision. You can either use the Leaderboard Scoring (Hole by Hole) Program or the regular Results Scoring (18 Hole) Program. It is important now to understand the difference between the two and what your options are:

When you use Leaderboard Scoring you don’t actually deal with the main scoring file that is used to control scoring. Instead, a temporary file is created that allows you to enter data Hole by Hole. Therefore, if you were in the middle of a round using the Leaderboard Scoring and then got into the regular Results Scoring you would see a blank file that has not been used.

When the Leaderboard Scoring round is over, you will copy the temporary file to the permanent scoring file. You cannot take this copy procedure until all groups have scores for all 18 Holes or have a WD or DQ posted. When the file is copied the temporary file will be reset for the next round.

What this means is that you can bypass the Leaderboard Scoring on a particular round if so desired and just use regular scoring, but you have to be careful. If you create the temporary file for a round by entering Leaderboard Scoring and then use Results Scoring to enter your scores, there are two scenarios to watch. Since you can’t copy the temporary file until all data is entered you would put that file in a limbo situation. Therefore, it could never get reset for the next round. The name of that file is: SCORTEMP.ENT and it can always be deleted which in effect will reset it. Of course you have to be careful when you delete any file. The other way out is to enter data on the temporary file to its completion. Be careful here because if you enter bogus data you will end up copying that bogus data to the permanent file and create a situation where you will have to go into the regular Results Scoring and re-enter all of the scores.

Once you take the option to enter Leaderboard Scoring the computer will ask which round you are entering. Then it will ask if you want the program to update the Leaderboard every time you make an entry or if you want to manually update the Leaderboard. This is totally a function of the speed of your computer and you can test and change this as often as you want. To change you just need to exit the program and then get back in. That will be explained later. Next the computer will make a comparison between the temporary file, the permanent file, and the pairings file to make sure that they are all “on the same page”. If you are in a limbo situation as described above you will get an error message. Based upon what was written in the last bullet point, you should be able to correct that situation using one of the two methods.

Leaderboard Scoring has only one screen. Everything is right in front of you. Let’s go over your different options and keystrokes:

SCREEN LAYOUT: Across the top of the screen (in yellow) is the Tournament Name, Round, and today’s date. To the right in a green box is the current time (the color of the box may change during the round depending upon what you are doing). On the second line are headings for the Players Name and School, plus the hole numbers.

 

The third line shows Group Number and Hole being played by that Group. The hole being played is the hole being played by the player farthest along in the group. It is possible through communication problems where you may have one Player on hole 4 and the others on hole 2 because you didn’t get scores for them yet. This can be fixed using the edit function (explained later) when you get those scores. To the right is the Hole by Hole Par for the course being played by this Group. The hole where this Group started is shown within a red background box.

 

When you first get into Leaderboard Scoring, the Group that appears is always Group 1. The Players of the current Group along with their Hole by Hole score and their daily and tournament totals are shown in this area. There are times when the software will give you messages which will be shown on the line right above the first Players name and just below the green boxes on the third line.

The next area below in the red windows are the Leaderboards. The Team Leaderboard is on the left and the Player Leaderboard is on the right.

The bottom line shows most of the keystrokes used. There are also some not shown that we will discuss.

CHANGING THE CONTROL GROUP (Keystroke not shown).

You can change the Control Group (the Group shown) by typing in the two-digit number of that group (i.e. 5 would be 05). If you type in a number that does not have a Group, the computer will not allow you to go there. If the first number you type is incorrect you can ESC to start over.

SPACEBAR TO ADD SCORES

This will allow you to Add scores for the Players in the Group shown. Those scores will be for the Hole shown in the green box in the upper left hand corner. If you have received scores for more than one hole, you must enter each hole one at a time.

If you don’t have scores for certain Players on a hole you may enter a dash (-) and edit that later. You may ENTER at any time to end putting in scores for that hole. If you inadvertently ENTER before you are through you can fix it with the EDIT feature.

If you start putting in scores and for some reason want to abort from this entry, ESC any time before you ENTER.

To enter a score on a hole that is higher than 9 you would first type 0 (zero) followed by the two-digit score.

If you try to enter scores for a group that is finished (green box will show Finished) you will get a message that tells you this group is Already Done. You can still change scores for that Group by using the EDIT feature.

W to Withdraw or D to Disqualify a Player for that Round

These both work the same way so both will be discussed here. If you type W or D on a Group the message area will ask you Which Player? 1-4. The Players would be numbered from top to bottom with the top Player being #1. Even if there are only 3 Players in a Group the message will be the same. Obviously with three Players if you try to take action with the 4th Player, the program will not allow this to be done. You may also ESC at this point to abort the action.

When you answer which Player # the computer will highlight that Player and the message box will prompt you to verify your action with a Y for yes or a N for no. Actually any key but Y will abort the action. If you answer Y the program will take the appropriate action to Withdraw or Disqualify that Player. You can reverse the action with the same process and the same steps. Withdrawn or Disqualified Players will be skipped on all ADDS and EDITS.

E to EDIT Scores

The main difference between EDIT and ADD is that with Edit you always start at the first hole of the first Player in the Group and the cursor moves horizontally through all holes of all Players. This gives you total freedom to enter scores and is especially useful to correct scoring errors when you receive the official card . You can actually use the Edit to Add scores if you like. The Add just gives you more control in an exacting environment when Scoring Central can get a little hectic. When using EDIT the message box will say Edit Scores.

In EDIT you also have use of the up and down (­ ¯) and side to side (® ¬ ) arrow keys to move your cursor around. Any score that you change will be highlighted with a green background box so you can check your edits before you ENTER.

You may ESC at any time during this action before ENTER to abort the action without any changes.

 

U to UPDATE the Leaderboards

If you have invoked the automatic update feature you don’t really need this, but if you have not this will update your Leaderboards. Notice on the Team Leaderboard that the time of the last update is shown in blue letters.

¬PAGE® Side to Side arrows used to Page through Leaderboards

Notice that when the Leaderboards are updated they show that they are on Page 1. You can page through each Leaderboard separately by using the side to side arrow keys. Use ¬ to go to the next page of the Team Leaderboard and ® to go to the next page of the Player Leaderboard. If you reach the last page you will wrap around to the beginning. Each time an update is performed you will automatically go back to the first page.

P will Print a Leaderboard on the Printer

This prints a current Leaderboard on the printer showing all teams (up to 30) and fills out with as many Players as can be printed on one page. This Leaderboard can be used to help update any manual Leaderboards that you are operating or may be copied and dispersed or faxed in any manner you desire. The time of the update will be printed on this form.

The letter “I” will prInt a Leaderboard on a Diskette in you’re A: Drive

This text file is useful for posting to a Web site. NOTE: WHILE THE TEXT FILES CREATED AT THE END OF THE DAY MAY BE POSTED TO ANY WEB SITE OF YOUR CHOICE. THE FILES CREATED FROM THIS ACTION MAY ONLY BE POSTED TO THE GOLFSTAT.COM WEB SITE OR TO YOUR TOURNAMENT WEB SITE. UNDER NO CONDITION MAY ANY OTHER WEB SITE LINK TO EITHER OF THOSE SITES DURING THE COURSE OF PLAY. YOU MAY CHOOSE TO POST THIS FILE ONLY TO THE GOLFSTAT.COM WEB SITE, BUT YOU MAY NOT POST THIS FILE TO ONLY YOUR TOURNAMENT WEB SITE. The format for these files shows all Teams current ranked score with all Players on that Team Listed directly below. It will also show all Players current scores ranked in order. This file also has a time of update printed to it. You need to know the naming procedure for these files so that you can keep them in order. The name of the Web File will be “UD” plus the Round Number plus “R” plus the 4 digit military time. The extension will be “.DOC”. As an example, an update of round 1 at noon would have a file name of UD1R1200.DOC. You must be sure and have a diskette in you’re A: Drive when taking this action. The message box will tell you the name of the file.

@ to get out of the Program

When taking this action you will be given 3 options.

Option 1 will copy the contents of the temporary scoring file into the permanent file and then reset the temporary file for the next round. This option can only be taken when all players have either been given a score on all 18 holes or have been DQ’d or WD’d for the day. If that has not happened you will get an error message telling you the lowest numbered group that still has data to enter.

Option 2 allows you get out of the program and back to the Main Menu of Results while leaving the temporary scoring file intact for the current round. This is used if you need to exit the program before the end of the round for any reason.

Option 3 (any other key) returns you to the Leaderboard Scoring Program.

AFTER YOU HAVE ENDED THE ROUND AND COPIED THE TEMPORARY FILE TO THE PERMANENT FILE

At this point you simply revert back to the normal process you would take in the regular Results Scoring software. At the Main Menu you get back into Scoring of the round, but this time you take (any other key) to go to the usual 18 Hole Scoring Program. Once you get into the Players scores you may double check if you want. You can even edit within this program (as normal), but if you edit you have to enter all 18 holes again. Then you simply @ to exit this program and follow the directions you normally do after the completion of a round.

TIPS FOR SCORING SET UP

With Leaderboard Results you have total flexibility to set up any configuration from Hole by Hole scoring to every 6 hole scoring. Your decision of how complex to get is a function of the number of volunteers you have and the extent of your communication. Following are some points to consider:

In Scoring Central a maximum of 9 different holes should be the maximum reporting to one channel.

Volunteers on course should be dressed alike for Players to easily identify them.

A separate radio channel or communication method should be used to communicate Leaderboard information from Scoring Central.

Remember to have extra volunteer to allow for breaks. Also have plenty of extra batteries if using radios.

In our opinion the easiest setup from a volunteer and radio standpoint that give you the best coverage is as follows: Score every 3 holes (3, 6, 9, 12, 15, and 18). When the Groups have cleared 3 and 12, move those volunteers to 16 and 17. This will give you Hole by Hole coverage of the leaders down the stretch. Remember to print extra volunteer forms for those people when they move.
